Before EleV8, several core parts of running the practice lived outside any central system. Staff capacity was tracked using a separate spreadsheet per office. Sales commission was calculated and recorded manually. Quotes for clients were managed without a formal digital process, and Companies House data for clients had to be checked and entered by hand.
None of this was unworkable day to day, but each process depended on someone remembering to update the right file, in the right place, at the right time — with no single system tying it together as the practice grew.
Decision Point
As the practice grew across multiple offices, staff capacity, commission and client workflows were being managed through a patchwork of spreadsheets and manual processes — workable at a small scale, increasingly fragile as the practice expanded.
What We Built
EleV8 started centred around forecast planning and has grown, module by module, into the practice's central operating system. It now covers leads, client onboarding, quotes (including a client-facing web portal with digital signature capture), sales commission tracking and payroll snapshots, staff capacity and leave, and automated Companies House data syncing with key filing dates surfaced directly against each client record.
Each module was scoped and built individually, agreed with Braceys before work started, so the system has grown in step with what the practice actually needed — not a fixed spec written once at the start.

Capacity, commission, quotes and client compliance dates now live in one system instead of a set of separate spreadsheets and manual processes. Quotes go out and get digitally accepted through a client-facing portal. Commission calculates automatically from configured brackets rather than being worked out by hand.
The platform continues to grow module by module as new needs come up — most recently staff capacity configuration and hours-based leave tracking for employees whose entitlement isn't tracked in whole days.
The Future
Braceys are continuing to invest in EleV8, finding new areas of the practice worth bringing into the platform as they go. What started as a forecast planning tool has already grown into leads, quotes, commission and capacity — and that pattern is continuing, with staff finding new use for the system faster than any single spec could have predicted.
The plan isn't a finish line so much as an ongoing streamlining of how the practice runs — replacing manual processes and spreadsheets module by module, as and when it makes sense to.
